Frequently Asked Questions

What counts as an inspection?

An inspection is counted each time a technician completes a room verification — entering CFM readings or sensor data that triggers compliance calculations (ACR and pressure pass/fail). Simply editing room details, adding comments, or viewing data does not count. The same room can be inspected multiple times (e.g., annually), and each verification counts as a separate inspection. If you have no inspections in a given month, you only pay the platform fee.

How does offline mode work?

RoomCert stores all data locally on your device using a secure offline database. When you collect data in the field — even in areas with no internet — everything is saved locally. The moment you reconnect, changes sync automatically to the cloud. You never lose data.

What compliance standards are supported?

RoomCert includes FGI Guidelines (2008, 2015, 2019, 2021, 2025 editions), ASHRAE Standard 170, and USP 797/800 standards. Administrators can also create custom guidelines for facility-specific room types.

How is our data secured?

All data is stored on Azure cloud infrastructure with encryption at rest and in transit. Authentication uses Google OAuth (Workspace). Role-based access control ensures technicians, admins, and viewers only see what they need. A complete audit trail logs every change.

What platforms are supported?

RoomCert Inspector is currently available as a Windows desktop application. macOS support is on our roadmap. The backend API runs on secure cloud infrastructure accessible from any modern browser for admin tasks.

Can we use our own company branding on reports?

Yes. Upload your company logo, configure your address and contact information, and every generated PDF will carry your branding along with transmittal letters and certification seals.

How long is data retained?

RoomCert retains all compliance data for a minimum of 3 years, meeting healthcare regulatory requirements. Historical reports can be accessed and regenerated at any time within the retention period.

Do you offer annual billing?

Yes. Annual plans receive 2 months free on the platform fee (pay for 10 months, get 12). Per-inspection rates remain the same. Contact us for details.
